Minutes of the Annual General Meeting on October 30, 2016

The meeting was called to order at 11:45 a.m.
President’s Report
Terry Sterling reported on matters addressed during the last year.
1. ATV riding has tapered off, especially around the pond.
2. The heavy machinery on Lot 14 was finally removed.
3. Lot 17 has been sold, so there could be building there this year.
4. Road repairs weren’t as extensive as desired due to a $1,900 shortfall of funds.
Treasurer’s Report
Tom Perciaccante reported that three lots have outstanding dues. One lot owes $1,000, one owes $600, and one owes $300. The latter two lot owners have claimed a financial burden. Hiring a lawyer to place a lien on these lots costs $285 per hour, and would take about two hours of work. One of the homeowners who owes dues spoke about their extenuating circumstances. We will check with a lawyer about the ability of the HOA to forgive dues. The homeowner will submit a written request for forgiveness of dues for 2016.
Tom presented the itemization of expenditures for a total of $23,544 for 016, and the expected expenditures for 2017 of $3,388, not including expected road repairs.

Election of Officers
Everyone currently holding an office on the HOA Board agreed to stay on. Don Artis moved that the Board remains the same. Karen Nichols seconded the motion. The motion received unanimous approval.
Formation of Committees
Beautification Committee – Josh Grieger (chair), Karen Nichols
It was noted that residents may trim bushes that are encroaching the roadway.
ARC – Patricia Hume (chair), Caroline Ketcham, Mike Vose
Lots 6 and 18 installed pools this year.
Pond Committee – Lars Howle, Jason Torgenson – chair to be determined
Jason will contact Ben Bibb for advise on how to take care of the pond.
Website Committee – Tom Perciaccante (chair), James Balfour, Kenneth Obi
No new business
By-Laws Committee – Don Artis proposed forming a committee to redo and update the by-laws.
Karen Nichols seconded the motion. The motion carried unanimously.
Members are: Don Artis (chair), Tom Perciaccante, Terry Sterling, and Ted Nichols
Road Committee – Terry Sterling (chair), Johnny Strickland, Don Artis, Josh Grieger
Don Artis reported on the road repairs done this year. There are two areas that are wet
underneath and need major repairs.
Three areas considered for paving in 2017 are:
1. the end of Dairy Ridge Rd.
2. Tom’s Creek Court
3. from Lot 23 to Lot 24
The Road Committee may hold a special meeting in February 2017 to determine
priorities.
Annual Dues
A short discussion occurred concerning annual dues for 2017. Sally Vose moved that the dues be set at $1,000. Don Artis seconded the motion. The motion carried 10-3.
