President’s Report
President Terry Sterling had nothing new to report – just that we are all dealing with the Coronavirus.
Treasurer’s Report
Treasurer Tom Perciaccante reported that there is currently $22,094.19 in the bank. There are dues outstanding from 4 lots totaling $3,000. Expenditures were:
Insurance $550
Go Daddy 21
Pond – tree removal 850
Cold Patch for potholes 356
Stamps 30
TOTAL $1,807
He expects next year’s expenses to be about $1,000.
Election of Board Members
Don Artis moved to keep the current Board members. Fran Kelly seconded the motion. The motion was unanimously approved.
Committee Reports
Beautification Committee – Jessica Story reported that some cleanup was done at the entrance. There were no expenditures. Mike Kenney moved that $150 be allotted for possible expenses for plants, mulch, etc. Don seconded the motion. The motion carried unanimously.
Architectural Review Committee (ARC)
The ARC approved the installation of solar panels on Tom Perciaccante’s house.
Pond Committee
Jason Torgerson reported that the pond is in good shape. A lot of brush was cleared out. There is still some small clearing to be done, but no expenditures are foreseen.
Website Committee
James Balfour has loaded more paperwork onto the website. The website is: https://sites.google.com/a/theclearingshoa.org
Road Committee
Don Artis reported that he still has cold patch available for pothole repairs and we need to plan a pothole party. James offered to repair potholes with him on Tuesday, Oct. 27th . (The majority of the potholes were repaired, so no pothole party will be held.)
The areas being considered for next year’s paving project are areas in front of Lot 1, Lots 3 & 4, Lot 7, Lots 10-17, and Tom’s Creek Court (excluding the circle). The areas in front of Lots 8 & 25 will not be done due to the possibility of building occurring on these sites.
After discussing semi-professional pothole repairs, Don will get an estimate for semi-professional pothole repairs being done in front of Lot 25 to test its durability. These repairs would not be warrantied. Don will also get estimates for paving the aforementioned areas. Bobby Medlin offered to help Don get quotes as he works with a paving company. Bobby is now part of the Road Committee.
Don inquired about possibly moving up the due date of the second HOA dues payment to April instead of June so funds would be available for road repairs by summer. The members present concurred that it should stay as it is.
Sally Vose moved that the Road Committee and the HOA Board meet to determine the exact road repairs next year when it is time to contract the work. Jessica seconded the motion. The motion passed unanimously.
Dues
Terry Sterling moved that the dues for 2021-2022 remain at $1,000. Sally seconded the motion. The motion passed unanimously.
New Business
Terry has inquired about bush hogging the common areas a couple of times with no response. He will continue to pursue this.
The meeting was adjourned at 2:05 p.m.
Respectfully submitted,
Sally Vose
HOA Secretary
